Reconcile Client’s Payroll Reports to Payroll Relief
- Once the prior payrolls have been entered, double-check each line item to compare to the totals on the client’s payroll reports
- DO NOT check the totals only (for example, check regular hours, holiday hours, and PTO hours separately, rather than checking that total hours match)
- Address any variances
Reconcile Payroll to Payroll Tax Filings
- For completed quarters, check that the payroll summary report in Payroll Relief matches the totals from their quarterly reports
- For the 941 this includes
- Taxable wages
- Social Security Tax
- Medicare Tax
- Total tax
- For unemployment returns this includes
- Total gross wages
- Taxable wages
- UI rate
- Tax amount
- For withholding returns this includes
- Gross wages (if reported)
- Amount withheld
Reconcile Payroll Tax Payments to Payroll Tax Liabilities
- Create a spreadsheet that shows the tax liabilities (this can come from the client’s reports or ours, assuming that the two have already been reconciled)

- Input payroll tax payments
- Determine if there are any variances
- Make sure the tax payment report is up to date
- Make a plan for any taxes that were in a liability period we didn’t process, but are not yet due (FUTA, SUTA)
- Add notes to the onboarding task to process additional tax payments about what needs to be debited
- Ask for the client’s permission before scheduling any additional tax debits
- Once the reconciliation is complete, save a copy to the client’s MISC folder in Dropbox
Reconcile Payroll Tax Payments in PR to Spreadsheet
- As a final check, we need to run the payroll tax payments report in Payroll Relief by quarter
- Double-check that the amount paid in each quarter matches our reconciliation file
- This will help to ensure that all tax payments have been entered in PR and that they are all in the correct period
